How to Book?
Our booking system is easy. After we’ve agreed your perfect weekend together, we’ll create an event for you on our online booking system. Here you can login, pay your deposit and send out invitations to the rest of the group. Once we know your final numbers we’ll provisionally book your accommodation, activities and nightlife for the full group. Full balance is not due till 5 weeks prior to the start of your arrangements and our system allows for flexible part-payments.
Does everyone in the group pay a deposit?
Yes. To secure the booking we take an initial £50 deposit from the lead booker. We then set up the event and allow 2 weeks for other guests to make their £25 deposits to confirm their commitment.
Do I need Exact Numbers?
No, not at all. When you enquire with Hen and Stag™ we will take your approximate numbers and provisionally book your arrangements based on the estimated group size. Once we’ve received all of the deposits from the rest of the group we can then confirm your final group size with our suppliers and adjust the booking accordingly.
How soon do I need to book?
You should book your weekend as soon as possible to ensure that you get your preferred package. Accommodation can sell out quickly so we always advise you to pay your deposit promptly to secure the best hotels and apartments within your chosen price band. The rest of the booking is generally more flexible so you can always confirm your activities and nightlife at a later stage.
What is the difference between the price bands?
Hen and Stag™ understand there may be different budget levels within each group and we are one of the few companies who send a choice of package options with each quote. Generally the main difference between the price bands is the standard of the accommodation. As a general guide we would classify Bronze option as a central 2 or 3 star hotel or a Hostel in the heart of the city. The Silver option is typically a 3 star hotel in the heart of the city and the Gold option is a 4 star hotel in the heart of the city, which may also include spa facilities. There is also usually a central 3 star apartment offered with the quotes plus a 4 star apartment in the heart of your chosen location.
Why do I pay a deposit before I know where I’m going?
When we send out your quote, we have numerous accommodation and activity choices available within each price band. Without a deposit we cannot confirm the current availability of your exact hotel or apartment. Rest assured that if for any reason we cannot get you booked in or you are unhappy with our choice we will offer you a like-for-like alternative. Where we cannot supply you with a suitable like-for-like alternative you will be offered a full and complete refund.
Is the deposit refundable?
Yes. Where we are unable to provide you with your chosen arrangements or supply a closely similar (‘like for like’) alternative, your deposit(s) will be returned in full. If we have supplied your chosen arrangements or a closely similar (‘like for like’) alternative then deposit(s) will not be refunded.
Can I change the accommodation?
If you are not satisfied with the accommodation provided you must inform us within five days of receiving your ‘Provisional Booking’ whereby we will provide alternative arrangements of equivalent or closely similar (‘like for like’) standard and price. Where this is not possible we will offer you a choice of a full and complete refund; or alternative arrangements of a lower standard together with a refund of the difference in price; or alternative arrangements of a higher standard together with an invoice for the difference in price. There will be no amendment fees charged and any changes agreed will result in a revised ‘Provisional Booking’.
How to pay?
Easy! Our online booking system allows for individual online payments using Visa Debit, Visa Credit, Maestro or MasterCard. A deposit is required by everyone in the group followed by simple, flexible instalments. There is a £1.50 processing fee for each payment.
For those who wish to book without using the online payment system, simply pay over the phone using any major debit card. Again, there is a standard £1.50 processing fee per transaction. Alternatively you can do a bank transfer for free to Stag and Hen Ltd, Acc 83961338, Sort 20-80-47 using the lead bookers name as a reference. Paypal transfers to email@example.com are allowed for deposits only.
What is the minimum amount of people I need to make a booking?
Our minimum numbers are 8 guests however certain activities such as Life Drawing (10), Dance Classes (10), Beer Wenches (10), Zorb Football (10), Footgolf (10) and other group activities often have minimum numbers higher than this which can affect the recommended size and cost of the booking. Other activities such as Strippers, Naked Butlers, Private Tours, Private Booths and Limousines are fixed prices for the group which may be affected if numbers subsequently change.
Some guests may not be able to do the whole weekend, is it possible to do parts?
Yes of course! At Hen and Stag™ we understand that your guests will have different budgets and often different time constraints and so we can organise a party that allows your friends to choose which elements they wish to participate in. We are always as flexible as possible, so long as minimum numbers are met.
What if my chosen weekend is no longer available?
When we receive your deposit if your chosen weekend is not available we will provide alternative arrangements of equivalent or closely similar (‘like for like’) standard and price. Where this is not possible we will offer a full and complete refund.
Do we have to stay overnight?
No, it’s not compulsory to book accommodation. At Hen and Stag™ we’re happy to book any activities for your group and you choose how many nights you’d like to stay.
Can we request single beds / special requirements?
Requests for single beds are not normally an issue. However, if you have any special request you must advise us in writing at the time of booking. Although we will endeavour to pass any reasonable request on the relevant supplier, we regret we cannot guarantee any request will be met unless we have specifically confirmed this in writing.
What is the check in and check out times for the hotels?
Check in is usually 2-3 pm and check out between 10-12 pm. Early check in and late check out times can usually be arranged if necessary. You will receive full details with your ‘Provisional Booking’.
Do all hotels include breakfast?
Some of the hotels used by Hen and Stag™ include breakfast in the price, but there are many hotels that charge a premium or simply do not offer a breakfast service. Where breakfast is included, this will always be specified in your ‘Provisional Booking’.
Will there be supplements for odd numbers or under-occupancy?
Because of our strong ongoing partnerships with our preferred accommodation providers, generally we are able to switch room configurations to accommodate any party size at no additional cost, subject to availability. When this is not possible, a supplement may be payable.
How are apartments priced?
Prices for apartments are always based on full capacity. If your numbers change then we will make every attempt to amend the room configurations to accommodate the new party size at no extra cost, subject to availability. When this is not possible, a supplement may be required.
Are the prices shown on the website guaranteed?
The prices shown on our website are starting prices that will invariably increase during busier times. For major events like public holidays or sporting events the price may differ from that shown due to higher demand. When you place your booking with us we will always send you the best available prices for the dates you have requested.
What about Late bookings?
If you are booking within 6 weeks of the event date, you must pay a non-refundable deposit to procure our services. In these instances a list of options will be sent to you, where possible, with prices and availability of activities and accommodation available at that moment in time. The full cost of your Arrangements must then be made within 48 hours, unless an agreement has been made with your Events Organiser and has been confirmed in writing. Due to the nature of last minute bookings, no guarantee can be made as to the availability of accommodation and activities at the subsequent time of payment.
Can I add extra people on last minute?
We will always endeavour to make additions but please remember this will be dependent upon availability. If you are adding people on after the final group size has been confirmed there may be an additional administration charge.
What if numbers decrease after Final Confirmation?
If your final numbers have been agreed and suppliers paid in full, then it’s not possible to make refunds. However if you could find a replacement, we’ll arrange a name transfer free of charge.
Is Transport / Transfers included?
No transport is included unless stated in the weekend description. However, we can supply all our clients with contact details for a reputable transfers company who can offer preferred rates.
